A calendar the Pilotie helper can read and change, and a booking page where people pick a free slot.
The helper can read the calendar, find a free slot, move a booking and draft the message. Changes are checked first, double bookings are blocked, and the message to the person waits for your tap. Undo is one click.
A booking page lets people pick a free slot and add it to their own calendar.
A shared staff calendar can hold a rota. You check hours and rest rules yourself.
